Inviting athletes (QR, link and email)

What it is

Three ways to get athletes (or assistant coaches) onto your roster: show a QR code, share a link, or email a list of addresses.

How to use it

  1. Open Invite on your roster. If you are on a team, choose where new players land: a team, or only you (as a private coach, with what you work on with them). Invites for assistant coaches are made from your Teams page.
  2. Pick a way:
    • QR code: hold up your phone at practice, or print it as a flyer. People scan and land on the join page.
    • Share a link: copy it into a group chat.
    • Email a list: paste addresses (up to 100 at a time). Each person gets an email with a personal link, and you see who has joined, who is still waiting and whose link has expired.
  3. The person opens the link. If they have no account they are sent to sign up with the invite attached; if they are signed in they join in one tap. Parents can use the same link to connect their child: they choose which of their athletes it is for.

Rules and limits

  • Links last 30 days. After that the invite shows as expired in your list and you send a new one.
  • An invite that was sent to one email address only works for the account with that address. Someone else using it sees that the link was sent to a different email.
  • A link or QR code with no email attached works for anyone who has it, until it is used. After a person joins, that link is used up; open the Invite page again for a fresh one.
  • Email limits: 100 invite emails per coach a day, 3 per recipient address a day across all coaches, and the same address cannot be emailed twice by you on the same UTC day.
  • Only the team owner or a head coach can invite coaches. Any coach on the staff can add players to that team. A coach invite must be for a team.
  • A coach invite needs a coach account; a player invite needs an athlete account (or a parent acting for a child).
  • A minor who accepts a team or private-coach invite with their own account does not join straight away: their parent or guardian is asked to approve first. A parent adding their own child through the link joins immediately.

Edge cases

  • Bad addresses are skipped and reported back to you, not sent.
  • If an email fails to send, the invite link is still created and you can share it another way.
  • If sending is not configured on the server, the list tells you so but the links still exist.
  • A person with an existing account who opens an older signup-style link still works.
